HOTEL TERMS AND CONDITIONS
- Hotel rates are bed & breakfast (B&B).
- Bed & breakfast rates include accommodation and breakfast
- The breakfast portion of the B&B rate is non-transferable or redeemable.
- Lunch & dinner vouchers are available at the minimum recommended value of R175 & R350
respectively, per person per night. These values can be adjusted according to the guests /
groups requirements. - Lunch and dinner vouchers are nett and non-commissionable.
- Lunch and dinner vouchers will be preloaded onto a restaurant card.
- The restaurant card may be used at the restaurant as a method of payment much like a debit
card. - The restaurant card may be used at any time of the day (not just for lunch & dinner).
- Restaurant cards or remaining funds are not transferable nor redeemable for cash.
- In the event restaurant cards are lost a penalty fee of R50 will be charged to the guest on
departure from the hotel. - The restaurant card will be cleared of any outstanding value upon departure.
- Restaurant cards cannot be used to swipe/pay for meals the following day or upon checkout
of the hotel. - Restaurant cards may also not be used for any room charges.
- Room charges should be paid upon departure from the hotel by cash or credit card, even if
there is money on the restaurant card. - Rates include 15% V.A.T.
- Rates are subject to change without prior notification.
- Rates are subject to availability.
- The final invoice total is nett & non commissionable, if applicable.
- In the event of a guest not checking in on the first night of the reservation without
notification, the accommodation will not be held for the number of days already paid for. - When extending a reservation, extra days will be charged at the rate applicable on that
specific day. - Bushveld Terrace is a non-smoking establishment. Smoking in hotel rooms and public areas
will incur a penalty fee of R1000 to the occupying guest for cleaning or replacement of
bedding, curtains, furniture and so on as well as the cost of repairing any damages. - Standard, Classic, Luxury, Deluxe rooms and Marula suite can accommodate a maximum of
two people sharing a room. Extra beds and or extra person/s (including infants) are not
permitted in these rooms. - Children 0 – 16 years of age are welcomed in Family rooms.
- Children 16 years and younger are not permitted in Standard, Classic, Luxury, Deluxe rooms
and Marula Suite. - Minors (person under the age of 18) are not permitted to stay in hotel rooms without an
adult staying in the room. A penalty fee of R1000 per day will be charged to the main
guest’s account to be settled by the main guest. - For guests booked into Standard, Classic, Luxury, Deluxe rooms or the Marula Suite who
arrive with a child will be required to book a family room at their expense. In the event all
the Family rooms are booked, a penalty fee of R1000 per additional child per night will be
charged to the main guest staying in a Standard, Luxury, Classic or Marula Suite prior to
check in. - Family rooms can accommodate a maximum of 2 Adults & 2 Children, under 16 years of age
(due to the size of the day beds). - Guests booked into family rooms who arrive with more than 2 adults staying in the room
will be required to book an additional Standard, Classic, Luxury or Deluxe room at their
expense. In the event the hotel is fully booked and we do not have rooms available a penalty
fee of R1000 per additional adult per night will be charged to the guests main account prior
to check in. - The single supplement rate applies for one person in the room. If two people share the
room the sharing room rate will apply and should be settled by the guest on arrival at the
hotel. During the Marula Festival (date to be advised) the single supplement rate will not be
available - Check-in time on the day of arrival is from 14h00 till 22h00. Late arrivals should be
arranged in advance by contacting the hotel reception. - All guests are required to provide their ID & complete a registration form upon arrival.
- Check out time on the day of departure is 10h00.
- Payment for extras can be made on departure from the hotel. Extras would be everything
other than accommodation i.e. activities, meals (other than breakfast), drinks, picnics etc. - Packed breakfasts can be arranged provided it is ordered at the hotel reception before
19h00 the evening before the breakfast is required. - In the event a guest has ordered a packed breakfast and in addition would like to have a sit
down breakfast from the restaurant, applicable charges will apply. - Once a guest has checked out of the hotel and has a further meal at the restaurant he/she
should settle their restaurant bill directly with the restaurant before departing. - Activities can be arranged, at an additional expense.
- Activities are outsourced to approved suppliers which are in particularly high demand
during peak periods. - To avoid disappointment we encourage activities to be booked in advance.
- Pre-booked activities require 100% pre-payment and incur cancellation fees.
- Last minute bookings for activities should be made no later than 16h00 the day prior to the
activity and subject to availability. - In the event bed linen and/or towels are unlawfully removed or stained beyond repair a
replacement fee may be charged to the guest. - Consumption of private alcohol in the hotel public areas as well as in the restaurant is
prohibited and may incur a penalty fee. - Quiet hours for hotel residents is between 22h00 & 06h00. Excessive noise during this
period could incur a penalty fee. - All persons entering Bushveld Terrace Hotel or using any amenities or facilities, do so
entirely at their own risk. - Bushveld Terrace Hotel is private property and the owner, manager and/or operator
reserves the right to refuse admission or entry to any persons. - Bushveld Terrace is monitored by CCTV surveillance.
- The owner, manager and operator of these premises, amenities and facilities and its
directors, employees, agents and representatives do not accept any liability whatsoever for
any injury or death of any persons or the loss or destruction of or damage to any property,
whether arising from fire, theft or any other cause whatsoever and by whomsoever caused
or arising from the negligence or gross negligence or wrongful acts or omissions of the
owner, manager or operator of the hotel or its directors, employees, agents and
representatives. - Parking facilities are used at own risk. The proprietors do not accept nor take responsibility
for the safe custody of any vehicle, or articles therein, or for any damage either to a vehicle
or articles, however caused, nor for injury to any person.
THE HOMESTEAD TERMS AND CONDITIONS
- The Homestead full board rate includes accommodation, breakfast, lunch & dinner.
- The Homestead self-catering rate includes accommodation only.
- The Homestead is booked as a unit with a maximum of 16 guests, sharing 8 rooms.
- Each room can accommodate a maximum of two people sharing the room.
- Extra beds and or extra person (including infants) are not permitted.
- Rates include 15% V.A.T.
- Rates are subject to change without prior notification.
- Rates are subject to availability.
- STO rates are nett & non-commissionable.
- The meal of the full board rate are prepared, served & hosted by our executive Chef, Adriaan
at The Homestead. - The meal portion of the full board rate is non-transferable or redeemable.
- The full board rate includes a limited bar.
- Beverages are excluded from the rate and for the guest’s own expense.
- Activities are not included in the rate but can be arranged at an additional expense.
- Activities are outsourced to approved suppliers which are in particularly high demand
during peak periods. - To avoid dissappointment we encourage activities to be booked in advance.
- Activities require 100% prepayment to secure due to limited suppliers.
- Check-in time on the day of arrival is at the Hotel reception from 14h00 till 22h00. Late
check in should be prearranged by contacting the hotel reception. - All guests are required to provide their ID & complete a registration form at the Hotel
reception upon arrival. - After registration guests will be accompanied to The Homestead and receive a welcome
brief at The Homestead. - Check out time on the day of departure is 10h00 at the hotel reception.
- Payment for extras can be made on departure from The Homestead at the hotel reception.
Extras would be everything other than accommodation i.e. activities, beverages. - In the event of a guest not checking in on the first night of the reservation without
notification, the accommodation will not be held for the number of days already paid for. - When extending a reservation extra days will be charged at the rate applicable on that
specific day. - Visitors (persons not staying at The Homestead) are strictly prohibited.
- Parties are strictly prohibited.
- Consumption of private alcohol at The Homestead, Hotel or Restaurant is prohibited. No
alcohol may be brought across from The Homestead to the Hotel or Restaurant. - Quiet hours for guesthouse residents is between 22h00 & 06h00. Excessive noise during
this period could incur a penalty fee. - Minors (person under the age of 18) are not permitted to stay at The Homestead without an
adult staying at the guesthouse. - All persons entering The Homestead or using any amenities or facilities, do so entirely at
their own risk. - The Homestead is private property and the owner, manager and/or operator reserves the
right to refuse admission or entry to any persons. - The Homestead is monitored by CCTV surveillance.
- The owner, manager and operator of these premises, amenities and facilities and its
directors, employees, agents and representatives do not accept any liability whatsoever for
any injury or death of any persons or the loss or destruction of or damage to any property,
whether arising from fire, theft or any other cause whatsoever and by whomsoever caused

BOOKING & PAYMENT POLICY
- The following information is required to make a reservation: Guest name & surname,
email address, cell phone number. For groups (5 rooms or more) a full rooming list is
required 30 days prior to arrival. - Bushveld Terrace reserves the right to release any rooms without a guests full name and
surname. In the event payment has been received and a rooming list is not received within the specified time frames and rooms are released, Bushveld Terrace reserves the right to charge admin fees. - Reservations are not transferable unless advised in writing by the person responsible
for making the reservation. - 25% of the total reservation is required within 7 days of the reservation creation date
with the final rooming list and balance of the invoice received 30 days prior to arrival. - Reservations made 30 days or less prior to arrival requires a rooming list and full
payment within 72 hours of the reservation creation date. - Reservations made 7 days or less prior to arrival requires a rooming list and full
payment by credit card within 24 hours of the reservation creation date. - Reservations made 24 hours or less prior to arrival requires a rooming list & full
payment by credit card immediately. - For group bookings (5 rooms or more) the following additional terms apply:
90 days prior to arrival – release 50% of unsold rooms
60 days prior to arrival – release 50% of unsold rooms - No FOC (Free of Charge) tour guide rooms available.
- The single supplement rate does not apply / is not available during the Marula Festival
(dates to be advised). - Activities require 100% prepayment upon booking to secure due to limited suppliers.
Cancellation fees apply. - Payments are not transferable.
- Provisional reservations are not secure unless a deposit payment has been received.
- Should BTH receive a confirmed booking that conflicts with a provisional booking, BTH
reserves the right to contact the reservation holder who will be given 24 hours to
respond with full payment or forfeit the booking. - Failure to meet the provisional reservation time frames could result in the reservation
being released without prior notification. - Failure to meet the balance payment deadline may result in the reservation being
released with cancellation fees applied. - In paying this invoice (or part thereof) you acknowledge and accept our terms and
conditions. - The credit card used to make the booking needs to be present at check-in as well as a
copy of the owner’s ID/Passport/ Drivers licence. - Failure to present the credit card used to make the booking will result in the transaction
being refunded less banking fees. - Payments can be affected by credit card (Visa, Master Card, Amex & Diners) via
paybridge (link provided on request) or bank transfer (provided the bank transfer is
processed 7 days or more prior to arrival). - Payment should be made in South African Rands and proof of payment emailed to
re*@bu*************.za.

CANCELLATION FEE
Cancellations or amendments to confirmed reservations as a result of the following, but not
limited to: flight delays, date changes, meeting cancellations, civil unrest, protest action, road
blocks, etc. will incur the following penalties:
- Forfeit 25% of the total reservation if the reservation is cancelled 30 days or more before arrival.
- Forfeit 100% of the total reservation if the reservation is cancelled 29 days or less before arrival.
- Forfeit 100% of the total activity if the activity is cancelled after payment.
Bushveld Terrace reserves the right to deny any requests for refunds if a refund is applied for
longer than 180 calendar days from the guest’s arrival date. Incomplete application forms or
application forms not returned to Bushveld Terrace within this time frame will also be denied.
This is in accordance with the Mastercard/Visa Global Ruling.
Bushveld Terrace reserve the right to not refund card fees (transaction costs) in the case of any
cancellation or situation where funds need to be reversed back to a credit card.
